View Full Version : Experiences on organizing a club night/ event ?

Hi, everyone

As what the topic title says, I want to organize a weekly club night playing mainly Trance because the electronic music scene at my place is not so healthy right now, almost everywhere play hiphop or commercial top 40 and a lot of DJs here have been looking for a place where they can play what they like for so long and so do the Trance listeners. I see that there a lot of event promoters or club night organizer here in TranceFix so let share me some tips about how to organize a good event (small-sized one, about 4-5 hundreds people a night) because this is my first time doing that.

1. Have a place.
2. Promote so f*cking much
3. Have a good party.
4. Write down all the mistakes you made and don't so them next time.

so the best way is still trial n error :).....I still want to know what errors people frequently makes....

I think it's difficult to set something up which absolutely does not exist in your area yet. Here in Holland there are many places with a healthy clubbing scene, but also lots of area's without a healthy clubbing scene.... and for what I see in my ugly area: you may be really happy if you get 100 - 200 people in a club with a totally new idea.
The success of one club is usually the success of one entire scene arround that one club. It works like this here in Holland, but I suppose it works like that in the UK, Germany Ibiza and in your place aswell.

I think it's better to involve someone else whois experienced in organising parties and start with a (bi-)monthly initiative. If the people come, and come back, then decide if it works or not, do some specials and plan more events.... and maybe more in one month, but it's difficult for sure to keep a high level if you go weekly because the people adapt to it very fast.

Most important is to have a proper business plan, great marketing, public relations, enough money to organise at least 3 parties. And last but not least: make happen what you promisee :)

The only thing i've got is; Set up a new bank account where all the profit goes. Great way of keeping track of the economy for future expensive bookings ;)

Lots of people = lots of income from alcohol and entrance fee :)

I don't want to sound pessimist but what profit are you talking about? It's quite sure that when you're first time organizing something like this you don't get any profit almost at all. Starting organizer should be just happy to get even the party organized. Nothing special should not be expected in the first 3-5 times. After that you can start thinking about profit. This is just my opinion.

I've been helping in organizing club events where i live.

Never had a negative balance, constantly going up.

Know what you mean though. If he's passionate about this, he might have to use his own money (along with the profit, if there is any) and that can be good to have in a separate account. That was basically what i meant ;)
